Role:
To provide an effective financial accounting and reporting service to the International Division including month-end accounting and reporting processes, year-end accounting processes, managing financial controls, supporting the audit processes and managing international stock requirements.
Main responsibilities and duties:
1. Financial Management and Systems
> To be responsible for month-end and year-end accounting processes, including checking and signing off accruals, prepayments and correction journals;
> To be responsible for producing International Division specific schedules and analysis for the year-end and interim external audits;
> To ensure the integrity of the accounts and compliance with appropriate accounting standards and internal procedures;
> To manage the safe and cash handling requirements of the International Division and ensure cash and safe transactions are correctly accounted for;
> To manage the ad-hoc customer invoicing requirements of the International Division customer invoice transactions are correctly accounted for;
> To ensure that the International Finance Operations Manual is kept up-to-date;
2. Financial Monitoring and Reporting
> To be responsible for producing the monthly International Division Team Finance Reports;
> To develop and implement cost control and cost recovery measures for the International Division with the aim of reducing International Division overheads;
3. Planning, Budgeting and Forecasting
> To be the finance contact for supported teams through planning, budgeting and forecasting
4. Programme Accounting and Support
> To provide financial management support and advice to Overseas Branches, including development of financial reporting structures and management accounting;
> To provide financial guidance and advice to members of supported teams through meaningful analysis and interpretation of results and forecasts;
> To maintain the integrity of the financial information in Agresso for supported teams, ensuring entries in accounting system are correct and up-to-date, posting journals where required;
> To review and process programme cash requests and forecasts and to challenge where necessary, and to ensure funds are sent within appropriate time frames, balancing programme needs with maximising cashflow;
> To process delegate mission floats for supported teams;
5. Programme Risk Management
> To support Internal Audit as required;
6. Restricted Funds
> To provide financial support on bids, reports, audits and close outs for all non-EC restricted fund programmes in supported teams;
7. Management and Training
> To provide formal financial training for International Division staff in corporate finance systems;
> To carry out the financial induction for new starters in supported teams;
8. Co-ordination and Representation
> To liaise with Finance & Business Development Division on issues of common interest e.g. Agresso, standardisation of management accounts, development and maintenance of internal controls, overhead recovery charge system for international funds.
> To liaise with other divisions (e.g. Fundraising) on finance related issues including development and maintenance of internal controls and policies and procedures and to ensure best practice is applied across the Society;
> To provide cover for the International Financial Accounting Manager as required;
9. Other
> Undertake any other appropriate duties that may be required by the International Financial Accounting Manager;
Person Specification:
Part-qualified accountant with relevant experience
Experience of supporting financial systems in international operations
Experience of producing financial reports (experience of financial reporting to donors an advantage)
Experience of supporting financial planning and forecasting processes
Experience of different accounting systems (experience of working with Agresso an advantage)
Strong audit and internal controls knowledge with the ability to highlight weaknesses and make appropriate recommendations
Highly computer literate with advanced knowledge of Excel, Word, Powerpoint and computerised accounts systems
